The Event Management module of IMPACT allows you to manage all aspects of your special events. Specifically, IMPACT allows you to track events and event registration, maintain historical event and registration information, print event and registration reports, and inquire into event and registration information.
In IMPACT, an event is simply an activity that a patron may register for. That is, a function, social event, or other activity that your organization sponsors that is typically attended by your patrons. Some simple examples would be a nature walk, a fund raising dinner, a golf tournament, or a class or workshop.
Data maintained for each event includes location, type, topic, description, begin and end dates, fee information, and elapsed hours. As an example, you may set up a 3 hour watercolor class at the local YMCA on May 15, 2005 at 7:00pm, allowing a maximum of 12 students.
IMPACT allows you to register participants, as well as any other patrons associated with the event based on the "role" that they play. In the watercolor example above, you can register the coordinator, the artist teaching the watercolor class, and each participant. As a by-product of the registration process, IMPACT maintains hours associated with each role, which greatly facilitates year-end reporting. For example, you can report the total participant hours in the above watercolor class. Or, you can report the number of hours of volunteer time for the year, or quarter, or any other time period that you choose. You can determine the number of instruction hours you provided for each type of class, or for all your classes. Or, you can report the number of hours you spent assisting patrons to restore a building.
Event information may be viewed online by patron or by activity. You can view all the registrations for any patron, for this month, or last month, or any other date range you choose. For example, you can see that Bob was a coordinator of the January watercolor class, taught the February watercolor class, and was a participant in the Spring beach clean-up. You can also view registration information for any event, again delimited by any date range you choose.
Several standard activity reports allow you to review or analyze your special event information. These include an Activity Registration Report that lists participants as well as staff, several Accounts Receivable Reports that list amounts owing for one or more patrons, and a Registration Summary By Role that shows registration elapsed hours and dollars over a user-selected time period.
In addition, the Inquiry/Report module of IMPACT allows you a comprehensive inquiry capability to analyze event and registration information and if desired, export this information to Microsoft Word in order to create and write thank you letters, print labels, or generate other correspondence.
